Step 1: Assess your hiring needs & resources

The first step of any strong recruitment process is to assess your hiring needs and resources. This means identifying both the vacancy and its requirements – where is the gap in your workforce, and what skills do you in order to fill it?
Use this analysis to identify your ideal candidate. What skills, qualities, and experience should they have in order to best meet the role’s requirements?

At this stage, it’s also important to assess your hiring team’s ability to manage the campaign in question. Do they have the tools and resources available to attract, manage, and hire the talent you need?

Step 2: Search for compatible applicants

Next, it’s time to start attracting compatible applicants. Get your vacancy live across all the essential platforms – including job boards, careers sites, and social media channels.
Make sure your job ads are optimised for talent attraction; shout about your company’s unique culture, employee benefits, and development opportunities.
Now is the time to ensure your employer brand’s online presence is well polished, as candidates will research this prior to submitting their application.
Use a multi-posting tool to ensure your vacancies are promoted in all the right places – otherwise, you’ll likely miss out on compatible talent. Ensure job ads, descriptions, and salary estimates are consistent across all channels.
Step 3: Screen applications & develop a shortlist

Once you’ve received a sufficient number of applications, it’s time to filter through your strongest candidates.
Look out for the key skills and qualities you identified at the beginning of the process – you may be able to search individual applications for keywords/specific answers.
Be sure to keep every applicant in the loop – even those who do not pass the screening stage. Failing to do so can harm your employer brand reputation, making it harder to attract talent in the future. Narrow down your applicants to a manageable number, depending on the nature of the role, and the number of new employees required. Keep in touch with these candidates to inform them of the next steps in their hiring journey.

Step 4: Engage your chosen candidates

Engage your shortlisted candidates as soon as possible to avoid application abandonment; don’t let other employers get in there first!
Invite each applicant to take part in the next stage of your hiring process, be this interviewing, assessment, or other relevant tasks. Be sure to give your candidates options of interview time slots to allow flexibility.
Video interviewing can be an effective and accommodating way to meet with your shortlisted candidates. This not only makes life easier for your hiring team, but gives candidates more flexibility over when/where they attend interview sessions.
Be sure to collect qualitative data at this stage on each applicant’s performance, as this will be used to inform your ultimate hiring decision.

Step 5: Make a positive hiring decision

Once you’ve met with/assessed your shortlisted candidates, it’s time to make the final decision: who gets the job?
Analyse the data collected at the interview/assessment stage in order to identify your strongest candidates. Present this to your hiring panel, be this your department management team, hiring managers, or company directors.
Try to use a wide range of decision-makers in order to promote fair, unbiased hiring. It’s always a good idea to gain feedback from multiple sources before finalising your hiring decision.
Once you’ve selected the right applicant(s) for the role, get in touch as soon as possible with the good news! Make sure they’re still open to accepting your offer; have backups in place to avoid having to restart the process.
Step 6: Onboard your new employee(s)

Congratulations! You’ve successfully hired new talent to join your team. Now you need to ensure they get off to the best start possible with your business.
Map out your onboarding/training plan before your new employee starts their role, and ensure you have all the tools and processes in place to welcome them to the business. This includes setting up equipment, logins, and preparing training material.
